As a homeowner with a Filipino domestic helper in Hong Kong, communication can be challenging due to language barriers and cultural differences.

Our Filipino Professional Organizer recommends using this 5-Step Method to guarantee that your domestic helper fully understands your instructions. Remember, it's your responsibility to explain things clearly, and the Teach-Back Method can help you achieve this.

Teach-back is one of the easiest ways to check if you have succeeded in communicating with someone. It involves asking the person to explain in their own words the main points from what you have said. This method is particularly important when communicating with your helper who may have difficulty understanding or may be hesitant to speak up if they do not understand.

To use this technique effectively, follow these steps:

Step 1: Make your domestic helper feel comfortable and at ease.

Speak in a friendly tone and maintain good eye contact. Ensure that the environment is conducive to absorbing your message and that there are no distractions that may interfere with understanding. For complex instructions, have her prepare a pen and a notebook to write down notes. 

Step 2: Break down your message into small, digestible chunks. Use simple language that is easy to understand.

Example to avoid: We have a party on Saturday and we have to make sure the house is clean, and we're serving .... . You need to... These will be my expectations….

Example to follow: We have a party on Saturday and we have to make sure the house is clean. This is a good stopping point- this is your first chunk. 

Give as much information as you can. Which areas of the house she needs to prioritize cleaning and when she should start preparing? What are your detailed expectations? Walk around the house to highlight exactly what you want to be done. 

Step 3: Ask your helper to repeat back the information in their own words.

This step will help you confirm that your message has been understood and identify any areas that may need further explanation.

 Questions you should AVOID asking:

 1. Does that make sense?

2. Do you understand?

3. Am I clear?

Filipinos have the tendency to avoid saying NO to prevent disappointing others. So the only answer you will be getting will be a big fat YES. This is a cultural thing that is engrained in most of us. While some experienced Domestic Helpers wouldn’t have a problem with this, some who may be new to Hong Kong, or are fairly younger will probably need more time to get accustomed to expressing what they really think and feel.

More useful language will be:

1. I want to make sure I’ve covered everything, can you tell me in your own words the main points?

2. “So that I can make sure I communicated clearly, would you please tell me what you heard me say?”

3. “I just want to make sure that I am clear. Would you please tell me what you understood me to say?”

Now is also a good opportunity to ask her if there is something she will need in order to complete the tasks.

 

Step 4: Assess understanding.

If your helper is having difficulty understanding, provide additional information or clarify any points that may be causing confusion. Avoid using jargon or technical terms that may be unfamiliar.

Once your helper has accurately repeated back the information, confirm that they have understood correctly. Then, move on to the next chunk of information or message.

Step 5: Summarize.

Finally, summarize the key points and ask if there are any questions or concerns. This will help you ensure that your helper has a clear understanding of what you are trying to convey. 

By following these steps, you can ensure that you have communicated effectively and that the person you are communicating with has a clear understanding of what you are trying to convey. This method is not only helpful in professional settings, but can also be used in personal relationships and everyday interactions.
